Adapt, Inc. Reduces Overhead and Increases Capabilities with New Software Systems by ZetaOne

COLDWATER, MI - Adapt Inc. in looking to upgrade their existing software to further streamline their time tracking and handle several HR functions called on software development firm, ZetaOne Solutions Group. The resulting solution leveraged Adapt’s existing computer hardware, and helped them to more efficiently track their employees. “We wanted a system that would do the accounting work for us but not get in the way of our people in the field.” said Tom Kramer, Adapt Executive Director, “We worked closely with ZetaOne to get just what we wanted, and we’re happy with the result.”

Adapt, Inc. employs approximately 270 employees at a combination of 17 different sites. Their challenge has been collecting, reviewing, approving and ultimately funneling time card info into their QuickBooks™ accounting system to generate paychecks. Additionally, employees work at multiple sites, on multiple shifts, and with varying rules for holiday and overtime calculations from site to site making the tracking complexity even greater.
The new system by ZetaOne addressed all of these challenges and helped Adapt to gain significant productivity in multiple areas from day one. In addition to productivity gains, Adapt was able to effectively reduce errors and gain valuable insight and control over their business. The system utilizes local workstation software for full administrative control in key areas, such as the main office, and makes use of secure websites to provide information and access to satellite locations. Enhancements include items such as the ability to memorize specific schedules which eliminates redundant data entry and requires only exceptions be addressed in entering full work schedules.
ZetaOne’s application utilizes a back-end server at the main office to approve and verify the time entries against customizable, scheduled hours as they are submitted. The accounting team reviews and approves time. Once the time entry is approved, holiday and overtime hours are automatically calculated based on company policies and then delivered directly to QuickBooks™ where payroll checks are then generated. The system’s automation eliminates days of work for each payroll cycle in addition to eliminating hand written slips, lots of manual data entry, and substantially reduces opportunities for errors.
Further, the system handles a variety of Human Resource functions such as automatically generating earned time off on both payroll cycles and anniversary dates. Employee licenses and certifications are tracked with automatic email notifications for renewals coming due in the near future. The system also tracks employee leaves for FMLA reporting, employee medical information, and emergency contact information. It then makes this information, which was partially contained in Quickbooks™, readily accessible to supervisors in the field through secure, online access. The system allows access of only the information that is needed and nothing more.
Moving forward, Adapt is optimistic about the ability to further streamline their operations. The new systems and applications are based on widely supported hardware and software. Because of the flexibility of the infrastructure and the framework of the applications involved, tweaks, additions, new features, and customization are easily performed. Within the first year of the initial launch, Adapt has already added additional functionality.
